Booking, Charges & Refund Policy
This page explains GableStay’s standard booking charges, move-in payments, notice requirement, room inspection and security-deposit refund process.
1. Booking confirmation
A booking is confirmed only after the applicable booking amount has cleared and GableStay has issued an official receipt and Booking ID in the resident’s name. The resident must also provide the requested contact, KYC and booking information.
The booking reserves the confirmed property and room category for the named resident, subject to the written booking confirmation.
2. Non-refundable booking amount
The booking amount is ₹3,000 per bed for double- or triple-sharing accommodation and ₹5,000 for a single-occupancy room. It is adjusted against the first month’s rent, remains separate from the security deposit and cannot be transferred to another person.
It is non-refundable where the resident cancels, does not move in on the confirmed date, changes plans or location, fails to supply required documents, or does not complete the remaining move-in payments within the agreed time.
3. Payments and process at move-in
Before possession or keys are handed over, the resident must:
- Pay one month’s rent in advance.
- Pay a security deposit equal to one month’s rent.
- Confirm the fixed ₹2,000 maintenance charge for each six-month period of stay. It may be paid in advance or deducted from the security deposit, as agreed in writing. The same period will not be charged twice.
- Complete the accommodation agreement, KYC and room-inventory acknowledgement.
Any existing damage or missing inventory should be reported in writing during handover.
4. Rent treatment
Rent is payable in advance. Once paid, it is non-refundable, non-transferable and cannot be adjusted to another resident, another property or a future stay. It is not refunded for unused days following an early departure.
Electricity is billed separately at ₹12 per unit based on consumption, plus a fixed ₹150 charge per occupied bed each month.
The security deposit cannot be used as the final month’s rent unless GableStay expressly agrees in writing.
5. One-month move-out notice
The resident must give one calendar month’s written notice before moving out. Notice begins when GableStay receives it through the official exit process or at care@gablestay.com. A verbal message is valid only when GableStay acknowledges it in writing.
Leaving before the notice period ends does not cancel rent, lock-in or other obligations under the signed agreement. Applicable dues may be adjusted from the security deposit.
6. Move-out, inspection and deductions
Before moving out, the resident must clear outstanding dues, remove personal belongings, return all keys and GableStay inventory, and make the room available for inspection by a GableStay executive.
The following may be deducted from the security deposit:
- Any unpaid ₹2,000 six-monthly maintenance charge, only where it has not already been paid for the same period.
- Unpaid rent, electricity, notice-period or other invoiced dues.
- Repair or replacement costs for damage beyond reasonable wear and tear.
- Missing furniture, fittings, keys or inventory.
- Reasonable additional cleaning or restoration costs, where required.
If deductions exceed the security deposit, the balance remains payable by the resident.
7. Security-deposit refund
After the room and inventory have been checked and applicable deductions calculated, the net security-deposit balance will be refunded within five working days of the recorded move-out date, provided the room has been fully vacated, all keys and access items have been returned, the inspection is complete and verified refund details have been supplied.
Working days exclude Sundays and notified public or bank holidays. An itemised final settlement and all invoices will be sent to the resident’s registered email address.
8. Applicable documents
This policy must be read with the booking confirmation, fee invoice, Accommodation Licence Agreement and property annexure. If a booking-specific term in a later signed document expressly differs from this general policy, the signed booking-specific term applies, subject to applicable law.
No later website update will retrospectively alter an already accepted booking unless agreed in writing or required by law.
