GableStay is operated by Gables Hospitality Private Limited (“GableStay”, “we”, “us” or “our”). This policy applies to gablestay.com, our enquiry forms and communications connected with room availability, property visits and accommodation services.

1. Information we may collect

Depending on how you interact with us, we may collect:

  • your name, telephone or WhatsApp number and email address;
  • preferred property, room type, budget, expected move-in date and stay duration;
  • occupation, institute or other information you choose to provide for an enquiry;
  • messages and records of calls, visits or follow-up communications;
  • technical information such as IP address, browser, device, referring page and website usage data collected through cookies and analytics tools;
  • identity, address or other documents only when needed later for booking, resident onboarding, legal or safety requirements;
  • referral-programme registration details, including the referrer’s name, WhatsApp number, optional email, generated referral code and terms-consent record;
  • referral attribution, referred booking status, eligibility decision, reward approval and payout reference; and
  • verified UPI or bank details only after a referral reward becomes payable.

Please do not send Aadhaar, financial information or other sensitive documents through the general website enquiry form or WhatsApp unless our authorised team specifically requests them through an appropriate process. GableStay does not request UPI or bank details when a referral code is registered.

2. Why we use personal information

We use relevant information to:

  • respond to enquiries and confirm live room availability, pricing and visit timings;
  • communicate by telephone, WhatsApp or email at your request;
  • arrange property visits and, where you proceed, support booking and resident onboarding;
  • operate, secure, measure and improve our website and services;
  • prevent misuse, maintain records and meet applicable legal obligations;
  • handle complaints, requests and disputes;
  • create and administer referral codes, attribute eligible new-resident bookings and communicate programme status;
  • verify referral eligibility, prevent self-referrals, duplication, collusion, chargebacks or fraud; and
  • process and reconcile approved referral rewards.

Where consent is required, you may withdraw it by contacting us. Withdrawal will not affect processing already completed and may limit our ability to continue an enquiry or provide a requested service.

3. Cookies, analytics and third-party services

Our website may use necessary cookies and measurement tools such as Google Analytics or Google Tag Manager to understand website performance and visitor interactions. Clicking telephone, WhatsApp or map links may open services operated by Apple, Google, Meta or another provider. Those providers process information under their own privacy terms.

You can control many cookies through your browser settings. Blocking some cookies may affect website functionality.

4. When we share information

We do not sell personal information. We may share limited information with:

  • authorised GableStay staff and property operations personnel who need it to handle your enquiry or stay;
  • website hosting, form, email, analytics, communications and security service providers acting for us;
  • professional advisers, regulators, law-enforcement authorities or courts where disclosure is required or reasonably necessary under applicable law;
  • a successor organisation in connection with a lawful business reorganisation, subject to appropriate safeguards;
  • banking, UPI or payment-service providers when required to complete an approved referral reward.

5. Retention and security

We keep information only for as long as reasonably needed for the purpose collected, our operational records, legal obligations or dispute resolution. Enquiries that do not proceed may be retained for a limited follow-up and record-keeping period, then deleted or anonymised when no longer needed. Referral registration, eligibility, approval and payout records may be retained for fraud prevention, programme administration, accounting and statutory record-keeping.

We use reasonable administrative and technical safeguards. No website, email or messaging service can be guaranteed completely secure, so please use care when sharing information online.

6. Your choices and rights

Subject to applicable law and verification of your identity, you may ask us to:

  • provide information about personal data we hold about you;
  • correct or update inaccurate or incomplete information;
  • erase information that is no longer required, subject to legal exceptions;
  • withdraw consent or stop optional marketing communications;
  • address a privacy grievance.

7. Information concerning minors

The website is not designed to collect personal information directly from children. If a prospective resident is under 18, a parent or lawful guardian should make the enquiry or provide appropriate permission. Please contact us if you believe a child submitted information without proper authorisation.

Our website may link to third-party websites or applications. We do not control their content, security or privacy practices. Review the third party’s terms before providing information.

We may update this policy when our services, technology or legal obligations change. The effective date at the top shows the latest published version.
